The Opportunity
The ALANO Society of Greater St. Louis is seeking an Executive Secretary to lead the day-to-day operations of its Central Service Office and care for the building that houses it. The Executive Secretary is the Society’s senior staff position, reporting to and working closely with the volunteer Board of Directors.
This is a leadership position with a strong hands-on component. The successful candidate will be equally comfortable managing people, finances, facilities, and operations and pitching in wherever needed to keep the office serving the recovery community.
About the Society
The ALANO Society of Greater St. Louis operates the Central Service Office, the principal communications center and clearinghouse for Alcoholics Anonymous information in the Greater St. Louis area. The office answers the phone around the clock, keeps the doors open, sells and ships literature, publishes the Where & When meeting guide, and provides space for A.A., Al-Anon, and related groups meeting in the building.
The Society is a nonaffiliated nonprofit corporation governed by a volunteer Board of Directors. Its single purpose is to help the alcoholic who still suffers.
Key Responsibilities
The Executive Secretary will:
- Direct the daily operations of the Central Service Office and implement Board-approved policies and priorities.
- Supervise staff and coordinate office volunteers.
- Oversee day-to-day financial operations, budgeting, accounts payable and receivable, and financial reporting.
- Maintain accurate organizational and financial records.
- Serve as the primary operational contact for tenants, meeting groups, vendors, and others using the Society’s facilities.
- Oversee the care, cleanliness, maintenance, security, and repair of the building and its meeting spaces.
- Manage and improve office technology, systems, and administrative processes.
- Oversee literature sales and distribution and other Central Service Office functions.
- Work collaboratively and effectively with the Board of Directors, providing information and recommendations needed for sound governance and decision-making.
- Help develop the annual budget and negotiate leases and other operational agreements as authorized by the Board.
- Perform hands-on office and facility duties as necessary to keep the Central Service Office operating effectively.
- Attend all Board and IR meetings.
- Produce and disseminate the monthly newsletter.
- Plan and participate in Alano events.

The ideal candidate will have:
- Strong organizational, administrative, and problem-solving skills.
- Experience supervising employees and/or volunteers.
- Financial and budgeting experience.
- Excellent communication and interpersonal skills.
- Good judgment, discretion, and the ability to handle sensitive matters appropriately.
- The ability to manage competing priorities and make sound day-to-day decisions.
- Comfort working with a wide range of people and personalities.
- The ability to interact respectfully with all persons.
- A willingness to perform both leadership and routine hands-on duties.
- Respect for the service-oriented nature of the Society and the community it serves.
This Is a Hands-On Leadership Role
We want to be clear about the nature of this job. The Executive Secretary may set the annual budget and negotiate a lease one day and clean a restroom or reset a meeting room the next. Both are part of the role. We are looking for someone who takes pride in both.
